We caught up with Jacob Sharpe, Managing Director, to discuss how Safety PAL has streamlined their operations and bolstered their safety management practices. Jacob reflects on how Safety PAL has become a cornerstone of their day-to-day operations, reinforcing their commitment to safety while enabling them to manage the growing demands of their expanding business with increased confidence and efficiency.

Q1. How did you first hear about Safety PAL, and why did you choose it over other systems?

Jacob Sharpe: I actually first came across Safety PAL years ago when Karl gave a presentation at a previous job. It was a very early version, but even then it stood out. I’d already had experience with other health and safety systems by that point, and honestly? Most of them felt like they were just there to tick boxes. You’d upload your documents, fill in the forms… and that was it. There was no real follow-through.

What grabbed me about Safety PAL was that it wasn’t just about having the right paperwork – it was built to make sure the actual work got done safely and legally. It’s designed from the ground up to follow HSE law properly, not just look like you are. That really matters to me.

The real clincher was how it gives you solid proof – real-time records showing that your team is doing what they’re supposed to be doing. Not just saying it, but actually showing it. That protects the lads on site, and it protects the business too.

Q2. What did you need from a Health & Safety system, and how does Safety PAL meet those needs?

Jacob Sharpe: When I started Sharpe MEICA, getting a solid health and safety system in place was a no-brainer. I’d seen the gaps in other companies, and I remembered Safety PAL from before – so I got back in touch with Karl.

I didn’t want something that just held documents; I needed a system that actually helped run the business. Safety PAL does exactly that. It keeps people accountable; if someone’s missed a training or a safety check, it flags it. If equipment needs servicing, you know before it becomes an issue. It basically watches your back, so nothing slips through the cracks.

And as the paperwork builds up—and it does, fast—it’s all there, in one place. That was a huge help when we went through the ISO 45001, 9001, and 14001 certifications. Everything the auditors needed was already logged, tracked, and traceable. No panic, no last-minute scrambling.

Q3. How long have you been using Safety PAL, and what was it like getting started?

Jacob Sharpe: We started using Safety PAL back in 2021. Since then, we’ve grown – and it’s grown with us.

The first thing I made sure of was that the key safety steps were in place—permits, inductions, job sign-ins. I didn’t want anyone picking up tools until they’d acknowledged the Risk Assessments and Method Statements, along with equipment safety checks, etc. Safety PAL makes that easy to manage—you can build it so the job can’t even start until everything’s signed off.

I also wanted the plant and equipment register early on, which was a game-changer for us. Before, a lot of that info just lived in people’s heads. Getting it set up took a bit of time – I spent a full day logging over 200 pieces of kit—everything from drills to pressure testers, with all their certificates, manuals, etc. It was a long day, but worth every minute. Now, it’s all there in black and white—logged, tracked, and flagged if anything’s overdue. Straight away, it gave me peace of mind knowing where everything was, what condition it was in, and when things were due for checks.

Because I knew I wanted to achieve ISO accreditation, it was important that what we said we were doing matched what we were actually doing. Safety PAL helped us do that from day one. It’s not just ticking boxes—it proves the work is happening in real life. That’s made all the difference.

Q4. How do you use Safety PAL in your day-to-day operations?

Jacob Sharpe: It’s central to everything we do now. We log all timesheets through it, so we know where people are, what they’re working on, and how long they’ve been there, helping with project tracking and managing hours. Before Safety PAL, I relied on reminders, post-its, and spreadsheets. Now, everything’s in one place, and the system tells me what needs doing and when.

We track PPE through the system, issuing and replacing it as needed. If something goes missing or is due for a replacement, it’s easy to sort out. Every bit of plant equipment is logged—who used it, where it is, and when it was last checked. Automated reminders keep us on top of inspections and certifications, preventing problems before they arise. We use the bulletins feature to share safety alerts or site rules, and everyone has to acknowledge them—no more “I didn’t see it” moments. On the training side, inductions are all digital now, with quizzes to make sure people actually take them seriously.

All of this adds up to saving time, reducing mistakes, and making the day run much smoother.

Q5. What’s the biggest impact Safety PAL has had on your business?

Jacob Sharpe: The biggest thing it’s done is bring real structure to our operations. When you’re a small team, it’s easy to just shout across the room or sort things out on the fly. But as you grow, that doesn’t really cut it anymore. Safety PAL gives us a proper structure, so as we bring new people in, they’re stepping into a system that already works. I can now step back from certain tasks, knowing that Safety PAL is handling the admin and making sure nothing gets missed.

It’s helped us look more professional. As a small company, that’s a big deal. We can stand shoulder to shoulder with much bigger firms because our processes are tight and our records are solid. It’s helped us punch above our weight, for sure.

When we started our ISO 45001, 9001, and 14001 certifications, Safety PAL really proved its value. The auditor was amazed at how organised everything was. I’d have the requested records open before they even finished asking for them. What could’ve been a stressful, chaotic process became a routine part of our operations.

Knowing that we’ve got all the proof we need to show we’re doing things right, especially if something goes wrong, has made a massive difference. I can sleep easier at night, confident that we’re covering all our bases.

Q6. Can you tell us more about how Safety PAL helped with ISO 45001, 9001, and 14001 accreditation?

For ISO 45001, it helps us monitor all our plant and equipment, making sure servicing and calibration are up to date and nothing is operated beyond safe limits. On the 9001 side, it underpins our job tracking and client communication—giving us a consistent way to manage quality across projects. And with ISO 14001, we use it to keep track of things like waste handling, equipment efficiency, and service records, which helps us stay on top of our environmental responsibilities.

Having that structure in place means we’re not relying on memory, emails, or spreadsheets anymore. The system keeps everything visible and on schedule, which means less chasing and fewer things slipping through the cracks. It’s helped us work more consistently, and it gives us confidence that we’re actually doing what we say we’re doing, not just putting it in a policy.

When it came to the ISO audit, that made all the difference. The auditors would ask for a record and I’d have it open and ready in seconds. Every sign-in, induction, training record, safety check, it was all there, logged and time-stamped. Going for all three ISO accreditations at once is a big step, and not something most small businesses would usually attempt, but with Safety PAL as our foundation, we felt ready.

The audit itself was surprisingly smooth. The auditor said more than once how easy it was to verify what we were doing because the evidence was right there, live in the system. That made a massive difference – not just for qualifying for the accreditation, but for giving us the confidence that we’re actually running things the right way.

Q7. How does Safety PAL contribute to worker safety and productivity?

Jacob Sharpe: It keeps everyone safe without slowing things down—that’s the balance you’re always trying to strike, right? Before anyone starts a job, they’ve got to be signed in properly, their training’s got to be up to date, and their PPE sorted. That all happens automatically in Safety PAL, so I’m not chasing people or second-guessing if something’s been missed.

We also get alerts for things like equipment checks or expiring qualifications, so we’re not caught out last minute. From a productivity side, it just cuts out loads of faff –  less admin and more time actually getting on with the work.

Q8. Do you feel better protected with Safety PAL?

Jacob Sharpe: Yeah, 100%. Before we had it, there was always that worry in the back of my mind—“Have we missed something? Are we properly covered if something goes wrong?” With Safety PAL, that pressure’s eased off massively.

It helps me prove we’ve done everything by the book. We’ve got the records to show that training’s been done, equipment’s been checked, and permits have been signed off. It’s all there, time-stamped and traceable. So if anything ever did come into question, I know we’ve got the proof to back ourselves up. As a business owner, it’s a big weight off my shoulders.

Q9. What role has Karl (Spencer) played in helping you and your business?

Jacob Sharpe: Karl’s been a massive help—not just with getting us going on the system, but in shaping how we actually run things. He’s got that rare mix of proper health and safety knowledge and a solid understanding of how businesses actually work day to day.

He’s pointed out things I hadn’t thought of, or suggested better ways to do stuff that’s saved me time and headaches. It never feels like he’s just trying to push a product—he genuinely wants to make things better for your business. And when we went through the ISO process, he was there to bounce ideas off, check things over, and steer us in the right direction.

Having someone like that in your corner—it makes a difference.

Q10. Is there anything else you would like Safety PAL to do in the future?

Jacob Sharpe: Funnily enough, yeah, we’re actually a bit excited about the next update. I know that probably sounds odd… a bunch of engineers getting enthusiastic about health and safety software – not exactly rock and roll, is it? But when you’ve been using something every day, and you hear there’s a slicker mobile version on the way, it does get a few nods around the office. Especially for the lads out on site—it’ll make their lives a lot easier.

Even now though, it’s ahead of the curve, and the fact they’re always working on improvements and adding new features is a big part of why we’ve stuck with it.
